File Repository

The File Repository allows you to upload and host files in GovDelivery Communications Cloud's secure data center. You can then attach hosted files to your bulletins or make them publicly available on your website for your constituents via GovDelivery Web Services.

To embed a list of topic files on your website from your file repository, you will need to include JavaScript on your webpage. Please contact your Granicus Client Success Consultant or our Customer Support team for assistance with this feature.

Adding New Files to the File Repository

Files in the File Repository are always associated with a Communications Cloud topic. To add a new topic file to the File Repository:

  1. On the Account Area toolbar, click Topics.
  2. Next to the topic that you want to associate the file with, click the paperclip.
  3. Click Upload File.
  4. Browse for the file to upload.
  5. Select an Effective Date.
  6. If desired, enter a Description for the file.
  7. Click Save.

Creating a Bulletin from a File

Communications Cloud makes it quick and easy to create a bulletin that includes a file in your File Repository. To do so:

  1. On the Account Area toolbar, click Topics.
  2. Click the paperclip next to the topic name.
  3. Click on the file that you want to include in a bulletin.
  4. At the bottom on the screen, click Create Bulletin.
  5. Draft your bulletin. In the Files section, your file name displays. You can decide if you want to attach the bulletin to your bulletin or link the file.

Deleting a File from the File Repository

To delete a file from the File Repository:

  1. On the Account Area toolbar, click Topics.
  2. Click the paperclip by the topic name, or click the topic name and choose Files from the Area Option toolbar.
  3. Check the box next to the file you want to delete.
  4. Click Delete File(s).
  5. Click OK to confirm.

Replacing a File in the File Repository

To replace a file in the File Repository:

  1. On the Account Area toolbar, click Topics.
  2. Click the paperclip next to the topic name.
  3. Select the file that you want to replace.
  4. Browse for the new file. If you do not want the link to change, the file name for the new file must remain the same. If the new file has a different name, the file link will change.
  5. Click Replace.

Q. What types of files can I upload to the file repository?

A. You can upload Adobe PDF files. Note that Communications Cloud does not convert files from other formats into PDF.

Q. If I replace an existing file and change the name of the file, will the original link still work?

A. Not typically. You will need to use the new link provided. The original link will only work if the name of the document remains the same.

Q. Can I turn off the File Repository for certain topics?

A. No. When the File Repository is enabled for your account, it is available for all topics. You cannot restrict the use of the File Repository to certain topics.

Q. Can I upload files that I do not want the public to see?

A. No. Documents in the File Repository are meant to be public facing.

Q. Is there a file size limit?

A. Documents should be less than 10 MB.
